Los clientes de EE.UU. leen rápido, muchas veces desde el celular. Un buen email es corto, tiene un solo pedido y dice exactamente qué pasa después.

  • El primer email tiene un plazo con zona horaria y dice por qué importa.
  • Lucía separa un cambio chico de uno grande y nombra el costo del grande: una fecha más tarde.
  • Hace una pregunta con dos opciones, para que Dana responda en cinco palabras.
  • Pide una confirmación breve con un nuevo plazo.
  • El último mensaje cierra el circuito: qué se aprobó, cuándo sale y qué pasa después.

Asuntos, vista previa y primera línea

  • Pon las palabras clave primero. Los celulares cortan los asuntos largos.
  • Nombra la acción y el plazo: 'Approval needed by Thu, 5 pm ET'.
  • Agrega el nombre del cliente o proyecto para encontrarlo y archivarlo fácil.
  • Tema nuevo, email nuevo, asunto nuevo. No respondas un hilo viejo para un pedido nuevo.
  • Nada de 'Urgent!!!' ni mayúsculas. Una hora real funciona mejor que una palabra fuerte.
  • Vista previa: muchas bandejas muestran el comienzo del email junto al asunto. Que la primera oración lleve el punto.

  • Hilos: responde en el hilo, no en el canal, para que el canal siga legible.
  • Canales: un canal por cliente o proyecto. Separa lo urgente, la facturación y la charla social.

Plazos, husos horarios y horarios laborales

Buenos Aires mantiene la misma hora todo el año (UTC-3). La mayor parte de EE.UU. cambia el reloj: el horario de verano empieza el segundo domingo de marzo y termina el primer domingo de noviembre. Por eso la diferencia con tu cliente cambia dos veces al año. Escribe 'ET', 'CT', 'MT' o 'PT', que cubren las dos estaciones.

Las horas compartidas suponen que el equipo de EE.UU. trabaja de 9 a 17 y tú de 9 a 18. Revisa tu horario y el de tu cliente. Arizona en general no cambia el reloj, así que pregunta si tu cliente está ahí.

  • Pon tu hora junto a la suya en invitaciones y propuestas: '10 am ET (11 am in Buenos Aires)'. Compruébala en un conversor.
  • Evita 'tonight' y 'tomorrow' entre husos. Usa el día y la fecha.
  • Para una entrega 'a primera hora', di la hora: '9 am ET'.
  • La tarde de EE.UU. es tu noche. La mejor ventana para llamadas en vivo son las horas compartidas de arriba.
  • El viernes a la tarde en EE.UU. ya es tarde para ti. No planees aprobaciones en ese horario.
  • Un cliente de la costa oeste puede no responder hasta que tu día casi termina. Planea de forma asincrónica.

Feriados de EE.UU. y de Argentina

Tu calendario y el de tu cliente no coinciden. Avísale con anticipación, con fechas, y di quién cubre lo urgente. Las fechas de los feriados pueden cambiar cada año, así que revisa un calendario oficial antes de prometer fechas.

  • Año Nuevo (1 de enero)
  • Día de Martin Luther King Jr. (tercer lunes de enero) y Presidents Day (tercer lunes de febrero)
  • Memorial Day (último lunes de mayo)
  • Juneteenth (19 de junio)
  • Día de la Independencia (4 de julio). Si cae en fin de semana, el día libre puede pasar al día hábil más cercano
  • Labor Day (primer lunes de septiembre)
  • Columbus Day o Día de los Pueblos Indígenas (segundo lunes de octubre) y Veterans Day (11 de noviembre)

Momentos de marketing para planificar

  • Black Friday (el día después de Thanksgiving) y Cyber Monday (el lunes siguiente): los clientes de retail y ecommerce suelen estar al máximo. Pide temprano sus fechas de congelamiento y de aprobación
  • Semana de Navidad: muchos equipos de EE.UU. bajan el ritmo entre Navidad y Año Nuevo. Confirma quién está disponible
  • Fines de semana largos (Memorial Day, 4 de julio, Labor Day): las aprobaciones que vencen antes de un fin de semana largo suelen perderse. Pídelas un día antes

Días en que tu equipo puede no trabajar

  • Feriados nacionales argentinos: por ejemplo el 1 de mayo, el 25 de mayo, el 9 de julio (la Independencia de Argentina, no la de EE.UU.) y el 25 de diciembre
  • Carnaval y Semana Santa
  • Feriados puente: el gobierno suele sumar días libres alrededor de los feriados nacionales, y la lista cambia cada año
  • Algunos feriados argentinos se mueven a un lunes u otro día según el año
  • Revisa la lista oficial cada año antes de prometer fechas

Cómo comunicar tu disponibilidad

  • Manda el aviso con una o dos semanas de anticipación como mínimo, y repítelo en el update semanal
  • Indica las fechas, el día de regreso y la zona horaria
  • Di quién cubre los pedidos urgentes y cómo contactarlo
  • Planea los plazos con ambos calendarios, para que nada caiga en un día libre de cualquiera de las dos partes
  • Configura una respuesta automática con la fecha de regreso

Etiqueta del email y lista antes de enviar

Destinatarios

  • Para (To): quienes deben actuar. Cc: quienes deben enterarse. No pongas en copia a toda la empresa.
  • Cco (Bcc): úsalo para proteger direcciones en un envío masivo, no para esconder gente en un hilo con el cliente.
  • Responder a todos: solo si todos necesitan la respuesta. Revisa la lista antes de enviar.
  • Suma a alguien al hilo con una línea: 'Adding [Name] to this thread.'

Formato

  • Viñetas para tres o más ítems, y negrita solo para el plazo.
  • Párrafos cortos de una a tres líneas. Una idea cada uno.
  • Adjuntos: nombra bien el archivo ('Spring-Sale-Banner-v3.pdf') y di qué contiene. Los archivos grandes van por enlace.
  • Enlaces: escribe unas palabras antes del enlace para que se entienda qué es. Verifica que el cliente tenga acceso.
  • Firma: nombre, cargo, agencia, sitio web. Suma tu ciudad o zona horaria si ayuda. Sin textos legales largos ni imágenes grandes.
  • Cierres: 'Best,' o 'Best regards,' o 'Thanks,'. Evita 'Cordial greetings'.

Preguntas

¿Qué largo debe tener un email a un cliente?
Lo bastante corto para leerlo en el celular. Un pedido, un plazo con zona horaria y el próximo paso. El resto va a una llamada o a un doc.
¿Escribo 'Dear' o 'Hi'?
Con la mayoría de los clientes de EE.UU., usa 'Hi [Name]'. Es amable y estándar. Usa 'Hello' si todavía no los conoces.
¿Alcanza con 'EOD' como plazo?
No. ¿El fin del día de quién? Escribe 'Thursday, 5 pm ET'. Nombrar la zona horaria evita casi todas las confusiones.
¿Cuántas veces puedo reclamar una aprobación?
Haz seguimiento al cabo de uno o dos días hábiles, y después otra vez indicando qué pasa si no hay respuesta, por ejemplo que la fecha se mueve. Cambia el asunto cada vez.
¿Cómo digo que no a un trabajo extra sin molestar al cliente?
Agradece, di que está fuera del alcance acordado y ofrece un próximo paso: un presupuesto o una fase posterior.
¿Cómo doy una mala noticia?
Dila pronto y con claridad, da la nueva fecha, explica en una línea, cuenta qué estás haciendo y fija el próximo update.
¿Cuándo uso Slack en vez de email?
Slack es para preguntas rápidas y de bajo riesgo. Decisiones, aprobaciones, facturas y malas noticias van por email, y si sirve, una nota breve en Slack.
¿Es descortés decir 'Sorry for the inconvenience'?
Está bien, pero es vago. Di qué pasó y qué harás. Una disculpa específica se lee mejor que una de manual.
¿Cómo escribo fechas y horas de EE.UU.?
Escribe 'Thursday, Oct 8, 3 pm ET'. Primero el mes, después el día, y siempre una zona horaria. Escribe el mes con letras para evitar la confusión de 03/04.
¿Con cuánta anticipación aviso mis feriados argentinos?
Con toda la que puedas, al menos una o dos semanas, y repítelo. Muchos feriados y días puente se anuncian con tiempo, así que revisa la lista oficial y avisa temprano al cliente.
¿Cómo digo 'quedo atento' en inglés?
'I look forward to your reply' o 'Let me know what you think'. Mejor todavía: cierra con un próximo paso y una fecha.
¿'As per my last email' suena mal?
Puede sonar a fastidio. Prueba 'Quick recap:' o 'Following up on my note from Monday'.
¿Uso signos de exclamación?
Uno está bien para sonar cálido, por ejemplo 'Thanks!'. Más de uno en un email a un cliente puede verse poco profesional.
¿Qué zona horaria uso con un cliente con equipos en varios estados?
Pregunta en cuál trabajan y úsala en todos los plazos. Si el cliente está repartido, escribe la hora en la zona de quien decide.
¿Qué hago si el cliente me escribe de noche?
No tienes que responder enseguida. Marca la expectativa con una línea: 'We'll reply first thing tomorrow, [time] ET.' Da un teléfono solo para emergencias reales.
¿Cuál es la diferencia entre cc y bcc?
Los destinatarios en cc son visibles para todos y deben seguir el hilo. Los de bcc quedan ocultos para los demás. Usa bcc para envíos masivos, pocas veces en hilos con clientes.
¿Cómo sueno seguro con un nivel intermedio?
Usa oraciones cortas, una fórmula para los pedidos y un set fijo de plantillas. Lo claro le gana a lo sofisticado. Lee el email en voz alta antes de enviar.
